Tags & printing

What should I print on?

Avery 22806 or any 2″ square peel-and-stick label sheet, 12 per page — no cutting. Each asset’s Tag panel has a “Print on label sheet” button, and you can choose which position to start at so a partly used sheet goes back in the printer. The Assets page prints up to 12 assets on one sheet.

Whose name is printed at the top of the label?

Yours, if it fits. “Name on labels” in Settings holds up to 18 characters and is filled in from your organization name when you sign up. If your name is longer than that, labels print TAGICORE until you enter a short form. The Tag panel on every asset tells you which it is.

Can I print without label sheets?

Yes. The Small 1.5″ and Standard 2×3″ buttons print one label centered on a Letter page with crop marks, for plain sticker paper and scissors.

How do I print at the right size?

Print at 100% / “Actual size” — never “fit to page”. On label sheets the QR lands in the label; on plain paper, cut along the crop marks.

Can I reprint a tag?

Anytime. The QR code’s link never changes for the life of the asset, so a replacement tag is identical to the original.

What makes the tags permanent?

The link, not the sticker. For kitchens, coolers, and outdoors, use the weatherproof film version of the 2″ square sheet instead of the paper one; if a tag is destroyed, reprint it and the QR is identical.

Scanning & the public page

Does scanning need an app or account?

No. Any phone camera opens the page in the browser. Whoever scans sees the asset’s public fields, documents, service history, warranty status, and who to call — and can report a problem.

Who can scan a tag?

Anyone holding it. That is the point: a tech, a tenant, a volunteer, or you in two years. Sensitive fields stay hidden (see below).

Are scans tracked?

Each asset counts its scans and remembers the most recent one, so you can see your tags being used. Scanners are not identified.

Organizing assets

How do categories work?

Pick one from the dropdown when you add or edit an asset — Appliances, HVAC, Electronics, Kitchen equipment and so on — or choose “Other…” and type your own. Anything you type shows up under “Yours” in the dropdown from then on.

How do I see everything in one unit, building, or room?

Location has levels: fill in the building or property, then the unit or floor, then the room — Elm St › Unit 2B › Kitchen. Each box suggests what you have used before. The Location filter on Assets lists every level, so picking Unit 2B shows only that unit; Group by Location then sections it by room. Each part of the location on an asset page is a link to that level, and Print tag sheet respects the filter, so you can print all the labels for one unit.

Can I print a list or report?

Yes. Set the filters and grouping on Assets so the screen shows what you want — one unit, one category, everything a person has — and click “Print list”. You get a PDF of exactly that view, with headings and counts, dated. The filters live in the address bar, so bookmark the view to reprint it later.

How do I see everything in one category?

Three ways: click the category on any asset page; use the Category filter at the top of Assets; or set “Group by” on Assets to Category to see the whole inventory sectioned with counts. Group by also works for Location and Person.

Privacy & visibility

What do scanners see vs. my team?

Every sensitive field has a lock/globe toggle on the asset page. Globe = Public, shown when scanned; lock = Private, your team only. Serial numbers and purchase prices are locked by default; purchase price is never shown publicly at all.

Are vendor account numbers visible?

Never. A vendor’s account number and notes are always private, no matter what. The public page shows only the vendor’s name, phone, and after-hours line.

What happens when I archive or retire an asset?

The tag keeps working but the page says so: archived assets show an “in storage” notice, retired ones a “retired” banner with problem reporting switched off. Records are never deleted.

Service, vendors & warranties

How does “who to call” get picked?

Three steps: an asset’s own service provider wins if set; otherwise a vendor matching the asset’s trade (HVAC, plumbing, …) is shown, with your preferred vendor first. Edit one vendor and every tag pointing at it updates on the next scan.

What does “Expiring soon” mean?

The warranty ends within 60 days. Status updates automatically: in warranty → expiring soon → expired, on the asset page and the public page.

How do I record a service visit?

On the asset, add a service record with the date, what was done, and the invoice. It becomes part of the permanent history shown on scan (if you keep it public).

Can Tagicore read a nameplate for me?

Yes — photograph the equipment’s nameplate when adding an asset and the brand, model, and serial number are extracted for you.

Warranty & service reminders

Will Tagicore tell me before a warranty expires?

Yes, automatically. Put the warranty expiration date on the asset and you get an email 30 days before, 7 days before, and on the day. There is nothing else to turn on.

When do reminder emails arrive?

30 days, 7 days, and the day a next-service or warranty date comes due. A Monday digest also summarizes warranties that are expiring soon or just expired.

Where do they go?

To your organization’s notification emails — set them in Settings. Up to 10 addresses.

Which assets are included?

Every asset with a warranty or next-service date, except retired ones. The Reminders page lists all upcoming dates so you can see what is coming without waiting for the email.

I changed a date — do reminders restart?

Yes. A new date starts a fresh 30/7/0 sequence for that asset.

Your team

How do I add teammates?

Settings → Team → invite by email. They get a link, sign in, and share access to the organization’s assets. Unlimited teammates on every plan.

What happens to reported problems?

Anyone who scans a tag can report a problem — it is emailed to your notification addresses and appears on the asset for your team to triage and close.

Billing & plans

What are the plans?

Starter $99/yr (25 assets), Small Business $299/yr (100), Business $699/yr (500). Every plan: unlimited scans, unlimited teammates, all features. The 30-day trial needs no card.

How do I switch plans or cancel?

Settings → Billing opens the billing portal, where you can switch, update the card, or cancel. Your data stays either way.

Can I get my data out?

Every asset exports as a ZIP: a PDF of the full record plus its documents. See the privacy policy for what we collect and where it lives.
